Business process automation: what we automate

What is business process automation? It is software that carries out repetitive steps on its own, according to set rules. These are the areas we automate:

Invoices and documents

Invoices issued from paid orders, submission to KSeF (Poland's National e-Invoicing System), invoices attached to orders from Allegro (Poland's largest online marketplace) and a document archive without manual re-typing.

What automation costs and when it pays off

We bill by the hour: programming €46/h net (excl. VAT), design €35/h net (excl. VAT). The cost depends on the number of systems being connected, the quality of their APIs and the number of exceptions in the process.

Euro amounts converted at the NBP mid-market rate of 14 September 2026 (€1 = 4.3391 zł) and rounded. We invoice in PLN.

Example: payback in about 5 months Two people spend 5 hours a week each re-typing orders, which is around 40 hours a month. At a labour cost of €14 per hour, that is €550 a month. Automation requiring 60 hours of work costs €2,750 net (excl. VAT). The figures in this example are assumptions; we will calculate yours during the estimate.

Frequently asked questions

What is business process automation?

It means replacing repetitive, manual tasks with software that performs them on its own according to set rules: moving data between systems, issuing documents, sending notifications and creating reports.

Do we have to replace the systems we already use?

Usually not. We first check whether your existing tools can be connected through their APIs. We build a new system only when the current tools do not allow integration or do not support the process.

How long does an automation project take?

It depends on the number of systems and exceptions in the process. You get the schedule together with the estimate within 2–3 working days, and you see working parts of the automation every 1–2 weeks.

What about data security and GDPR?

We work on the basis of a contract and an NDA. The code goes into your repository and external services are registered in your company's name, so access to the data stays under your control.

Can AI be used in automation?

Yes, if it brings a real benefit: reading documents, sorting tickets or drafting replies. We use a language model ourselves in the cost calculator and the project brief builder on this site.

Will invoice automation work with KSeF?

Yes. Integration with KSeF, Poland's National e-Invoicing System, through its API lets you send and download invoices without logging in manually. We describe the deadlines and details on the page about KSeF integration.
